About the Position

Reporting to the Supervisor of Revenue Services, this position is responsible for responding for preparing receipts and processing all revenue through cash system, updating and to maintain master files, to assisting in Water and tax billings, to providing general clerical duties, responsible for responding to public phone calls and emails and to perform clerical and finance duties within the Finance department. This position provides back up to the Finance Service Clerk and Finance Clerk.

This is a 12-month contract.

Duties & Responsibilities

The duties listed are not meant to provide a description of each and every job performed but only those which represent the core functions of the job.

  • Process all payments by cash/cheque/debit through cash system.
  • Prepare daily cash balance reports and bank deposits.
  • Receive and process changes to various Master Files regarding Water and Tax information: update tax files for mortgage institutions for billing purposes, update tax and water files for changes of ownership, name and address.
  • Re-direct returned mail re: tax and water billings by verifying proper ownership, names and addresses, and proper mortgage listings.
  • Receipt of daily mail, opening, sorting, verifying payments and prepare distribution to responsible supervisor.
  • Prepare and distribute Tax and Water Certificates by recording proper roll number/account number for each request, print computerized certificates, scrutinizing for correct outstanding payment dollar value, forward to Treasurer for signature, sort and mail to applicant, then process transaction through cash systems.
  • Respond to general enquiries on the phone, emails or the counter from members of the public, as the first point of contact in the finance department.
  • Responsible for processing the mail within the department.
  • Responsible for batching tax/water payments.
  • Responsible for preparing and distributing confirmation letters, lawyer letters and Revenue Canada letters.
  • Provides back up to the Finance Service Clerk and the Finance Clerk.
  • Perform all other duties as assigned.

What you need to Succeed

  • Two (2) year College Diploma in Accounting, or similar field.
  • Two years’ experience in a municipal finance environment, including analyzing and auditing payments and receivables and handling large sums of money.
  • Strong working knowledge of computerized accounting systems and software.
  • Excellent customer service skills, with a strong attention to detail.
  • Excellent written and verbal communication skills.
  • Expertise in a variety of computer applications, including Microsoft Office Suite.

Salary and Benefit Information

The hourly wage range for this full-time, unionized position is $31.13 – $32.76 (2024 rates)
