Position Purpose
Supporting the Heritage, Events and Theatre Operations team, the Special Event Assistant supports the delivery of events and facility rentals at the Whitchurch-Stouffville Museum, 19 on the Park Theatre, and at various town-led events and festivals. Reporting to the Coordinator, Front of House or Supervisor for the assigned event or rental, this role assists with on-site operations, guest services, vendor and renter assistance, while maintaining a safe and welcoming environment.
The position requires active supervision of guests and equipment, adherence to emergency procedures, and collaboration with staff and volunteers in a fast-paced setting. The Special Event Assistant works across a variety of environments, including heritage buildings, theatre spaces, outdoor community events and outreach activations, where attention to safety, site protection, and customer service is essential. Work schedules vary based on event and rental needs and may include days, evenings, weekends, and holidays.
Qualifications
- Minimum of Ontario Secondary School Diploma (Grade 12).
- Must be at least 19 years of age.
- Must be able to lift 30-50lbs.
- Demonstrated experience in event facilitation.
- Excellent interpersonal skills, organizational skills, initiative and time management.
- Superior problem-solving skills; ability to follow established site safety procedures.
- Ability to deal courteously and effectively with the renters, guests, hired service providers, staff and members of the public.
- Able to work evening and weekends.
- Able to work outdoors in all weather conditions.
- Standard First Aid Certification and Smart Serve Certification (can be completed after hiring).
