The City of Temiskaming Shores is seeking a motivated, independent, and organized Project Coordinator to help with the planning and coordinating of project delivery within the community development department.

What You’ll Do
As a Project Coordinator, you will be responsible for planning, organizing, and coordinating all aspects of project delivery within the department, with a strong focus on event management, stakeholder engagement, and sponsorship coordination. This role ensures the successful execution of industry programs and events by managing logistics, registrations, vendor relationships, and promotional activities.
Key Responsibilities
- Administer participant registrations, including the preparation and administration of application and registration forms.
- Oversee and maintain the online registration portal, ensuring accurate participant information and timely communications.
- Research, negotiate, and secure venues that meet project and event requirements while achieving cost-effective outcomes.
- Coordinate hotel accommodations by researching suitable properties, negotiating room blocks, and managing relationships with selected hotel providers.
- Coordinate intergovernmental relations in collaboration with the Director and the Municipal Clerk, fostering effective communication and partnerships with municipal, provincial and federal governments.
- Develop and manage sponsorship opportunities, including sponsor recruitment, relationship management, and fulfillment of sponsorship agreements.
- Track project budgets, monitor expenditures, reconcile payments, and maintain accurate financial records.
- Coordinate the design, production, and distribution of promotional and marketing materials.
- Represent the Corporation at mining industry trade shows and events to promote programs and engage with prospective participants and stakeholders.
- Liaise with trade show organizers to coordinate logistics, booth requirements, exhibitor services, and event schedules.
- Plan and implement the Speaker Series at the PDAC Convention, including speaker coordination, scheduling, logistics, and on-site support.
- Recruit, schedule, and supervise volunteers, ensuring all event-related tasks are completed efficiently.
- Coordinate multiple project timelines, deliverables, and stakeholder communications to ensure successful project execution.
- Maintain effective relationships with vendors, sponsors, speakers, volunteers, and industry partners.
- Prepare reports, maintain project documentation, and provide administrative support as required.
- Perform any other duties as needed and requested by the managing Director.
Required Qualifications
- Diploma from an accredited institution in Business Administration, Event Management, Project Management, Marketing, or a related field, or an equivalent combination of education and experience.
- Experience coordinating events, conferences, trade shows, or industry programs.
- Strong organizational and project management skills with the ability to manage multiple priorities simultaneously.
- Experience assisting with budgets, financial tracking, and payment reconciliation.
- Excellent written and verbal communication skills.
- Strong negotiation and relationship management abilities.
- Proficiency with Microsoft Office Suite and online registration or event management systems.
- Willingness to travel and work occasionally during evenings and weekends to attend events.
- Bilingualism is considered an asset.
