The Township of Wellesley is a rural escape in Waterloo Region, located within a 20-minute drive of the cities of Kitchener and Waterloo. The Township is agriculturally based with approximately 12,000 residents. The Township of Wellesley is made up of several small communities, including Heidelberg, St. Clements, Linwood, Wellesley and Wallenstein and is committed to providing a diverse and inclusive environment for both residents and employees.

Wellesley Township is looking for a self-motivated, hardworking team player to fill a position as Office Coordinator within the Corporate Services Department.

Summary

Reporting to the Director, Corporate Services this position is responsible for providing administrative, financial, and clerical services to ensure effective, efficient, and accurate operations.

Responsibilities

  • Receptionist duties including greeting visitors, answering telephone calls, and directing inquiries to the appropriate departments.
  • Maintaining a clean, organized, and efficient office environment.
  • Responsible for maintaining the filing systems within the Finance Department. Scan and digitally archive invoices to maintain organized and accessible financial records, supporting efficient auditing and reporting.
  • Opening mail and distributing to appropriate office staff.
  • Cashier duties, include accepting payments for all accounts receivables, dog tags and issuing receipts for various payments.
  • Records balances to control totals, prepares bank deposits for all cheques, and cash received.
  • Periodically may be required to take deposits to the bank at the end of the day (drop box).
  • Ordering office supplies and materials, tracking inventory of office supplies for all departments.
  • Responsible for checking, updating, and maintaining postage machine, including preparing cheque requisition for replenishing.
  • Assist staff with various administrative tasks, including preparing documents, such as yearly budget books, and presentations.
  • Tracking donations and issuing donation tax receipts.
  • At times, assist with basic financial analysis, and bookkeeping.
  • Assists with year-end reconciliations and Financial Information Reporting.
  • Locking all doors and ensuring all security measures are followed prior to leaving the office, closing debit, locking safe etc.
  • Troubleshooting office issues.
  • Performs other related duties as assigned.

This position is office-based and requires ability to travel to Wellesley Township office located in St. Clements, Ontario.

Qualifications

  • Ability to work well under pressure and time constraints.
  • Proficient in use of computer software including Microsoft Office Suite and Accounting software. Experience with iCity would be considered an asset.
  • Minimum Grade 12 diploma or equivalent.
  • Community college diploma in business administration and/or finance or equivalent experience is preferred.
  • Demonstrated experience in an office environment is required. Municipal experience would be considered an asset.
  • Demonstrated organizational and time management skills.
  • Possesses excellent communication and public relations skills.
  • Demonstrated ability to be a team player who can establish effective working relationships with other employees.
