Job Summary

Responsible to provide support service to the seven (7) Long Term Care (LTC) Homes by ensuring the homes master schedules are created and maintained and up to date through organizing, coordinating and maintenance by working within operational requirements and the collective agreement. Responsible to ensure time and attendance reporting is complete and accurate for LTC staff and submitted to Payroll for processing.

The Long Term Care Scheduling Clerk must ensure operational needs are met according to established guidelines within the scheduling process and is accountable for resolving scheduling issues in a proactive and professional manner.

Qualifications

Education

  • Completion of Grade 12
  • Completion of one year of post-secondary education in a business or office administration program or equivalent
  • Additional training in software courses including databases, spreadsheets, word processing

Knowledge/Experience

  • Minimum of 1 year related experience in an operations scheduling environment where time and attendance encoding was also a principle function
  • Training in scheduling and time & attendance software (KRONOS preferred)
  • Excellent computer skills

  • Must possess knowledge of the business rules governing allocation of scheduled shifts

Responsibilities

  • Responsible, under the direction of the LTC Scheduling Supervisor, to maintain the master schedules for all seven (7) regional homes and to ensure the full staff complement are scheduled to cover all service requirements.
  • Responsible to confirm replacement staff for open shifts, and reallocate shifts in accordance with collective agreement requirements in advance and in accordance with the schedule posting deadline.
  • Responsible to prepare, calculate, encode, process and verify all payroll related input such as attendance, vacation, and lieu/flex time records accurately for submission to Payroll for processing.
  • Request and submit pay adjustment form to Payroll for any short pay. Research in response to questions about employee’s pay; do historical edits in KRONOS if needed. Reconcile terminal exception log for missing or late/early out scans.
  • Email home each week with new schedule for posting in the home.
  • Responsible to coordinate vacation replacement requirements and ensure necessary scheduling is completed in advance to meet operations requirements.
  • Provide communication that involves the explanation, exchange and clarification of information requiring tact, discretion and courtesy in dealing with sensitive health and confidential information.

Special Conditions

  • In accordance with the Corporate Criminal Record Check Policy, the position requires the incumbent to undergo a Criminal Records Check and submit a Canadian Police Clearance Certificate.
  • Compliance with any requirements, including immunization and screening measures, of the infection prevention and control program as required by applicable legislation/Act, regulation or policy; some measures are only recommendations (not requirements)
  • Currently scheduled 21 hours per week. Schedule is subject to shift rotation and on-call, where shifts vary from days and evening shifts. Shifts range from 5:00 A.M. start time to latest finish time of 11:30 P.M. including working weekends and holidays.
