  • Vacation: Accrues to start at three weeks/annum; increases based on length of service.
  • Parking: Provided; taxable benefit provisions apply.
  • Mileage: If applicable, as per CRA allowances.

Basic Function

Reporting to the Manager of Employee Relations and Learning, and under the guidance of the Human Resources Management Team, the Human Resources Office Clerk is a first line of contact for the Human Resources Department. This position is customer service-focused and duties support the department operations. The HR Office Clerk responsibilities, involve preparing and distributing correspondence, data entry, filing, answering inquiries from both the public and employees, and administrative support as required for all HR functions.

Principal Responsibilities

  • Act as the first line of contact for members of the public, employees and interview candidates.
  • Review and post job postings with the required publications and websites, in a timely manner.
  • Facilitate testing components for interview process as scheduled.
  • Maintain and update the personnel files and ensure the filing is kept up-to-date.
  • Ensure departmental supplies are maintained and order when required, charge back to appropriate accounts.
  • Trained in and knowledgeable of the HR Assistant role and provide coverage in the absence of the incumbent.
  • Provide administrative support to the Director of HR and/or designate as needed.
  • Assist with preparation of meetings/training sessions, including but not limited to: making arrangements for meetings/training sessions, ordering and setting up beverages and meals, booking rooms and ensuring all supplies/materials are prepared.
  • Assist with preparing agendas, take meeting minutes and distribute to attendees, and track follow-up items.
  • Assist with the County Long Service and Retirement Recognition process and event.
  • Track and ensure accurate training attendance records in the appropriate system.
  • Perform accurate data entry and transcription of health and safety information.
  • Develop, review and update forms and templates to support team processes and ensure consistency in documentation.

Minimum Qualifications

  • Two-year college diploma, with human resources and business administration courses preferred.
  • Minimum two years of experience or equivalent in office administration, preferably in a municipal environment; experience in human resources is preferred.
  • Knowledge of human resources functions is an asset.
  • Strong organizational skills with the ability to maintain accurate records.
  • Experience working with Microsoft Office Suite.
  • Working knowledge of Human Resources Information Systems (HRIS) and SharePoint is preferred; experience working with JD Edwards and SAP SuccessFactors is an asset.
  • Experience editing website content is an asset.
  • Well-developed written and verbal communication skills, with the ability to communicate effectively and tactfully.
  • Superior customer service skills and ability to reflect a positive, outgoing and professional demeanor.
  • Ability to maintain confidentiality.
